1. Purpose of Collection and Use of Personal Information
(a) The personal information collected through pre-registration by KOTFA Co., Ltd. (hereinafter referred to as the “Company”) is used for the following purposes:
Establishment and fulfillment of service contracts (including identification and verification of members and exhibition visitors)
Provision of information regarding new services, exhibitions, or events
Member management, including handling complaints, responding to inquiries, and delivering notices
(b) In order to provide convenient and diverse services, the Company may use the personal information collected from pre-registered participants to conduct advertising or marketing activities through various notification channels, including but not limited to postal mail, email, SMS (mobile text messages), KakaoTalk (AlimTalk, FriendTalk, Kakao Brand Messages), and service push notifications.
If a participant does not wish to receive such communications, they may opt out by notifying the exhibition secretariat by phone or by using the opt-out method provided in the notification.
2. Items of Personal Information Collected
(a) The Company collects only the minimum personal information necessary to provide its services. Additional information may be requested when necessary.
The following items are collected as mandatory information, while all other items are considered optional.
Mandatory items:
Phone number (ID), email address, name, age group, gender, place of residence
(b) The Company collects personal information only with the consent of the user. Information that may infringe upon fundamental human rights—such as race, place of origin, family origin, ideology, political orientation, criminal records, or health status—will not be collected unless explicitly required by law or consented to by the user.

4. Photography and Video Recording at the Exhibition
Photographs and videos may be taken at the exhibition venue for promotional and marketing purposes.
Participants may request the withdrawal of consent for such use at any time, either before or after the event, by contacting the Company.
5. Retention and Use Period of Personal Information
The Company retains and uses personal information only for the period disclosed and agreed upon. Once the purpose of collection and use has been fulfilled, the information is destroyed without delay.
However, certain information may be retained for the periods specified below in accordance with relevant laws and regulations.
(a) Retention Required by Applicable Laws
In accordance with the Commercial Act and the Act on Consumer Protection in Electronic Commerce, etc., the Company retains personal information for the following periods and uses it only for the purposes specified:
Service contracts (e.g., exhibition hall or conference room rental): 5 years
Records under the Act on Consumer Protection in Electronic Commerce:
Records related to labeling and advertising: 6 months
Records related to contracts, subscription withdrawal, payment, and supply of goods/services: 5 years
Records related to consumer complaints or dispute resolution: 3 years
Records required under tax laws (National Tax Basic Act):
All transaction records and supporting documents: 5 years
Exhibition pre-registration / on-site registration records and marketing use: 5 years
Records of refusal to receive exhibition marketing communications: 10 years
(b)**
Upon fulfillment of the purpose of collection and use, or upon withdrawal of consent, personal information is destroyed without delay, except for information required to be retained by law.
If personal information has been entrusted to a third party for processing, the Company ensures that such information is also destroyed by the entrusted party.

Printed personal information is destroyed by shredding or incineration.
Electronic files are destroyed using technical methods that prevent recovery or reproduction.

7. Provision and Entrustment of Personal Information
(a) The Company uses personal information only within the scope disclosed in this policy and does not provide it to third parties without prior consent, except in the following cases:
Where the user has given prior consent
Where required by law or requested by investigative or supervisory authorities in accordance with lawful procedures
(b) The Company may entrust the processing of personal information to third parties to provide smooth and improved services.
(c) Only the minimum amount of information necessary for service provision is entrusted.
(d) In accordance with relevant laws, the Company ensures that entrusted parties comply with personal information protection regulations, confidentiality obligations, prohibition of third-party provision, liability in case of incidents, entrusted period, and the obligation to return or destroy personal information upon completion of processing.
(e) In the following cases, personal information may be provided to participating exhibitors solely for the purpose of introducing their companies and products. The choice to provide such information rests with the visitor:
Allowing exhibitors to scan barcodes issued at entry is considered implicit consent to provide the visitor’s registration information to the exhibitor.
If pre-registration is completed via an online banner posted on a participating exhibitor’s website, the applicant’s personal information may be provided to that exhibitor.
(f) Collected information may be provided to the Korea Exhibition Industry Promotion Association (AKEI) as part of the international exhibition certification system operated by the Ministry of Trade, Industry and Energy. Such information is used solely for exhibition verification purposes.
8. Chief Privacy Officer
The Company makes every effort to ensure the safe use of its services.
Users may report any personal information protection-related complaints to the Chief Privacy Officer or the responsible department. The Company will respond promptly and sincerely.

9. Rights of Users
Under the Personal Information Protection Act, users have the right to refuse consent to the collection of personal information.
However, please note that refusal to provide consent may result in the inability to apply for free admission to the exhibition.
